Sales demo booking
Qualify the lead first (company size, use case), then offer slots only to visitors who fit. Add a HubSpot step after the booking so the contact and the meeting reach the CRM together.
The Google Calendar step reads the free time on your calendar, offers the visitor only the slots that are genuinely open, and creates the event on your calendar the moment they pick one, with the visitor invited by email.
Build on the Free plan. The Google Calendar step runs on Pro ($39/month) and above.
A booking link that sends people to another page loses some of them on the way. The Google Calendar step books inside the conversation: the visitor answers a few questions, sees a short list of times that are actually free, taps one, and the meeting is on your calendar.
Availability comes from two places you control. Your weekly hours, set in the step, decide when you take bookings at all, and the busy times already on your Google Calendar are removed from those hours, so a slot you filled an hour ago is not offered again. This page covers the Google Calendar connection itself; for the bigger picture of booking flows see calendar booking and the guide to chatbots for appointment booking.
The step builds slots from your weekly availability, then checks your calendar's busy times through Google's free/busy lookup and drops every slot that overlaps. Visitors only see times you can take.
When the visitor chooses a time, the event is created on the calendar you selected with the title and description you set, in the time zone you chose.
With attendee email collection on (the default), the visitor's email is added to the event as a guest and Google sends them the invitation, so it lands in their own calendar.
Set which days you take bookings and the hours on each. A day can have more than one window, such as a morning and an afternoon block.
Choose a length from 15 minutes to 2 hours, a buffer of up to 30 minutes between appointments, and how far ahead visitors can book, from 1 to 365 days.
The Get events operation fetches events from a calendar so a flow can tell a visitor what is coming up, for example class times or the next open day.
| Setting | What it does |
|---|---|
| Google account | The connected account whose calendars the step can use. |
| Calendar | Which calendar to read busy times from and add bookings to, picked from that account's list. |
| Time zone | The zone your hours are in and the event is created in. |
| Operation | Book appointment or Get events. |
| Duration | 15, 30 or 45 minutes, or 1, 1.5 or 2 hours. |
| Buffer time | No buffer, or 5, 10, 15 or 30 minutes between appointments. |
| Days in advance | How far ahead visitors can book, from 1 to 365 days. |
| Weekly availability | On or off per weekday, with one or more time windows. |
| Event title and description | What the booking is called on your calendar. Variables such as ${name} are allowed. |
About ten minutes, most of it spent on your hours. You need a Pro or higher workspace and the Google account that owns the calendar.
Before the calendar step, collect the visitor's name, email and the reason for the meeting, saved to variables. A booking template has these steps ready.
Drag the step into the flow and choose Book appointment.
Choose Connect and approve calendar access in Google's window. An account already connected for Sheets or Gmail is reused, and Google asks only for the calendar permission.
Select the calendar that holds your appointments and the time zone your working hours are in.
For a 30-minute call with a 10-minute gap, set Duration to 30 minutes and Buffer time to 10 minutes. Limit Days in advance to keep your calendar from filling months out.
Turn on the days you take bookings and set the hours for each, then name the event with something like Call with ${name} so it is clear in your calendar.
Preview the bot, book a slot with your own email, and check the event and the invitation. Book the same slot again to confirm it is no longer offered.
Qualify the lead first (company size, use case), then offer slots only to visitors who fit. Add a HubSpot step after the booking so the contact and the meeting reach the CRM together.
Ask which service the visitor wants and set the duration to match it. Use separate steps per service if they take different lengths.
The visitor gets a Google Calendar invitation, which their own calendar reminds them about. Send a confirmation from the Gmail step with directions or what to bring.
Use Get events on a public schedule calendar so the bot can answer "when is the next beginner class?" from the calendar your team already maintains.
The Calendar step asks Google for calendar access and permission to manage events, so it can read busy times, list your calendars and add bookings. Your email address and basic profile label the account in the dashboard.
Bookings are created on the calendar you pick, as the connected account. For a team, connect each person's account or use a shared calendar that everyone can see.
Remove the account on the Integrations page, or revoke Conferbot in your Google Account under third-party connections. Booking steps that used it stop offering slots until you reconnect.
Choosing a slot is an interactive step. It runs where the visitor can tap a time, such as the website widget. On messaging channels that only carry plain text, the booking step is not run; collect the request there and confirm it another way.
The step checks busy times on the calendar you select. If your real commitments live on another calendar, make that one the booking calendar, or share it into the one you use.
When the busy-time lookup fails, the step still offers slots from your weekly hours, so a visitor is never stuck. Keep the buffer and the days-ahead window sensible to limit any overlap.
Your hours and the event use the time zone you set in the step. Write it into the confirmation message so visitors in other zones read the time correctly.
| What you see | Why, and the fix |
|---|---|
| No slots are offered | No weekday is switched on, the windows are already past for today, or your calendar is full for the whole Days in advance range. Widen the hours or the range, and check the time zone. |
| A slot I am busy in was offered | The busy event is on a different calendar from the one the step checks. Select the calendar that holds your commitments. |
| The calendar list is empty | The connected Google account has no calendars it can edit, or the connection expired. Reconnect, then refresh the calendar list. |
| The visitor got no invitation | Attendee email collection was off, or no valid email was captured before the step. Ask for the email first and keep collection on. |
| Times are off by hours | The step's time zone does not match where your hours apply. Set it to your business time zone. |
Yes. It builds slots from the weekly hours you set in the step, then removes any slot that overlaps a busy time on the calendar you selected, using Google's free/busy lookup.
Yes, when attendee email collection is on, which is the default. The visitor's email is added as a guest on the event and Google sends them the invitation.
From 15 minutes to 2 hours: 15, 30 or 45 minutes, or 1, 1.5 or 2 hours. You can add a buffer of 5 to 30 minutes between appointments.
You choose, from 1 to 365 days ahead, in the Days in advance setting.
Yes. Each weekday can be switched on or off and given its own time windows, including more than one window in a day.
Choosing a slot needs a screen where the visitor can tap a time, such as the website widget. On channels that only carry plain text the booking step is not run, so collect the request there and confirm it another way.
Google Calendar is a native integration, included on Pro and above. You can build and preview the flow on any plan.
Conferbot has a separate Google Meet step that creates a Meet link for a meeting. Use it with the calendar booking when the appointment is a video call.
It is the Google Calendar connection that powers booking flows. The calendar booking feature page explains booking flows in general; this page covers connecting Google Calendar, its settings and its limits.
